Teams Under 10:
For teams of fewer than 10 members, it's a breeze to schedule your sessions using our online scheduler on our website's thestudiopod.com/book-now. Everyone can pick a date and time that suits them perfectly and easily book their photo sessions.
Teams of 10 or More:
For teams of 10 and above, we provide a dedicated corporate portal to streamline headshots and photo sessions. To establish your corporate portal and join the Studio Pod corporate family, simply fill out our contact form. Our team will reach out shortly to assist you in setting up your company.
Team sessions are coordinated by your company's appointed administrator through the corporate portal. Invitations are sent to team members via the portal, containing a scheduling link for each individual. This link empowers employees to peruse all available appointment slots across our locations and effortlessly select a date and time that suits their schedule. It's a one-click, hassle-free solution designed for the convenience of both you and your team.

How to sign up for a Portal
Complete our online form, and we'll assist you in setting up your portal to get started with Studio Pod.
How to log in
Visit your company-specific link for the Corporate Portal, and use your Admin email address along with your password to log in.
If you forget your password, visit your portal link, click on "Forgot Password" and enter the admin email address. A password reset link will be sent to this email address.
Multiple Corporate Portal Admins
For added convenience, teams using Studio Pod's Corporate Portal can have more than one admin. To add an admin, simply shoot us an email at [email protected], and we'll handle the rest!
Change in Portal Admin
If the person managing your Corporate Portal changes, contact us at [email protected]. We'll update the Admin email address and schedule a brief walk-through with your new admin.
Placing an order
Once in your company portal, click "Create New Order." Choose a pre-set number of headshots or customize the quantity.
Sending invites
For Studio Pod at retail locations, log into your Corporate Portal, create an order, and send invites by clicking the "send invite" button. You can send multiple invites at once or upload a csv file for quicker entry.
Retouches
We recommend adding retouching to your order. Adding retouching at this stage will build the retouching process into your team's headshot session. Once a user completes their headshots, they will be prompted to choose a favorite at the end of their photo session. This favorited image will automatically go to our retouching team and return to your employee and the Corporate Portal when it is ready.
General retouching includes skin softening, stray hair removal, minimizing facial shine, and ensuring color adjustments match your team's other photos. Retouches are $10 per photo.
Selecting a retouched photo: When purchased with your session, the process is built-in. Your selected favorite at the end of the session goes to our retouching team and returns to your Corporate Portal when ready.
Adding retouching after a session: Visit your online gallery, click on the photo you'd like to retouch, add professional retouching to your cart, and check out.
Turnaround time:1-2 business days typically, or 1-2 weeks for corporate teams we visited, depending on the team's size.
Background Swaps
Some of our Corporate Partners like to brand their headshots by replacing our standard white background with another type of background. We offer digital background swaps for anyone looking for something unique, or who might need to match previous background selections.
If your team needs background services, please reach out to us at [email protected], and we’ll be happy to assist. Background swaps are only $10 per photo, and can be incorporated into the retouching process.
For background changes, we recommend sending an example of the desired color or image to [email protected] so our team can match it as closely as possible.
Sending invites
To use Studio Pod at our retail locations, you’ll need to send your employees an invite so that they can schedule and use a Pod. Sending invites is easy, just log into your Corporate Portal and create an order. If you already have an order with unused sessions, you can click on the “+” button on that order. Next, click “Send invite.” Enter the name and email address of the person you’d like to invite and click “Send Invite.” You can send multiple invites at once and upload a CSV file for quicker entry if you prefer.
Uploading a CSV file
In the "send invite" section, click "import .csv file," and follow the instructions to download, complete, and re-upload the csv file with your team information. You can then send invites using the uploaded information.
